Executive Assistant
Hybrid based 2/3 days per week at Central London Office
Pay Rate: £30/h

This key role will provide an efficient and comprehensive Executive Administration support to the VP and will be a key interface both internally and externally to GSK.
You will act as a trusted partner and primary point of contact, ensuring seamless coordination of priorities, communications, and executive operations. The successful candidate will thrive in a fast-paced, global environment and demonstrate excellent organisational, interpersonal, and problem-solving skills.
Your responsibilities will consist of but not be limited to:
· Provide high-level administrative support, including complex diary and calendar management.
· Schedule, coordinate, and prioritise meetings, ensuring optimal use of executive time.
· Manage competing priorities and respond proactively to changing business needs.
· Develop a strong understanding of team priorities to anticipate and resolve issues.
· Act as a key contact for the executive’s direct reports when needed.
· Identify and implement process improvements to enhance efficiency.
· Coordinate complex international travel arrangements, including flights, accommodation, and ground transportation.
· Manage visa applications and ensure compliance with travel health and vaccination requirements.
· Organise logistics for internal and external meetings, conferences, and events.
· Liaise with internal teams and external partners to ensure smooth delivery.
· Prepare meeting materials and support follow-up actions.
· Manage expenses, invoices, and purchase orders in line with company policies.
· Use internal systems to ensure accurate and timely financial processes.
· Provide support for projects, initiatives, and engagement activities.
· Assist with team events, culture, and communication initiatives.
The following are essential to the role:
· Proven experience supporting senior leaders at Director level or above.
· Strong background managing complex diaries, travel, and administrative processes.
· Advanced proficiency in Microsoft Office, Outlook, Excel, and digital tools (e.g., SAP, Ariba).
· High level of discretion and integrity when handling confidential information.
· Excellent organisational skills with strong attention to detail.
· Strong communication and stakeholder management skills.
· Ability to prioritise and manage a high-volume workload in a dynamic environment.
· Collaborative, flexible, and adaptable approach to work.
Desirable
• Experience in a global, digital, or technology-driven organisation.
• Knowledge of corporate travel and procurement processes.
• Familiarity with AI-assisted productivity tools.
